I also need to know the particulars! On which day are most people showing up? On which day are most people leaving? Is there a particular hotel everyone is staying in? Is this being held at a hotel, or a park, or someone's house or.....? Are there other activities planned on different days? If we stay in a hotel, will we need to rent a car to get somewhere?!

It appears Valis, Nina and Chris - who I believe are the planners of this event are not around right now, I'll try to help based on my past experience going down there for these shindigs
Since it's a long weekend folks may stay until Monday. Many people come in throughout the day on Friday and some on Thursday night and some don't arrive until Saturday when the actual fest happens
It sounds as though they are thinking of having a conference room at the hotel for the party but that may not be the case depending on what Valis finds out etc.
Most folks will stay at The Bradford HomeSuites on Harry Hines- their "Downtown" location. You can look at their facilities here:

There you can see the room setups etc. Take a look at the rooms as they are different. If folks are sharing a room, the Deluxe One bedroom's as opposed to the Executive Suite would be a better idea because inthe Deluxe One bedrooms- the couch in the living room folds out into a bed and in the other two room types it doesn't. There is also the "Executive Studio Double" that has two double beds in the bedroom and on Orbitz the Deluxe One bedroom and the Double are the same price.
The best prices I've found so far were from Orbitz:

Executive Studio: (one queen size bed with a half wall separating the living room from the sleeping area-couch doesn't fold out) $86.62 per night (add 15% tax to that)
Deluxe 1 bedroom (one king in a separate room and the couch in the living room folds out to a bed)
$95.16 per night -add 15%)
Executive Studio Double - two double beds with a half wall separating the living room from the sleeping area- couch doesn't fold out) $95.16 per night-add 15%)
I don't know if they have rollaways or cots they can bring into the rooms but I'm sure they'll charge you more for extra guests above and beyond their normal prices if they do.
Booking on Orbitz (or any other hotel booking website) means that it will be charged to your credit card immediately and there is a charge to cancel.
IMPORTANT: You may want to wait before you book until we hear from Valis- he's going to be meeting with the folks at the Bradford and may be able to come up with some good prices for a block of rooms.
A few folks have volunteered to pick people up at the airport upon arrival. One thing that would be a good idea is for people to pm each other and find out when they may be arriving and share in the cost of a shuttle from the airport to the hotel.
Another tip if you are planning on staying at the Bradford. They have kitchens with a stovetop (no oven), a toaster oven- coffeepot, refrigerator and dishware, glasses and silverware. There is also a dishwasher. So a trip to the grocery and liquor store is usually in order and people can make a list of what they want to pick up and then if someone is kind enough to transport others around town this can be done by several people at one time.

And I will be delighted to help you find the nearest grocery store in a NICE NEIGHBORHOOD. Also, last time those that were still around and conscious the day after the big Apostafest wandered out to our house, which is in Murphy near Southfork, so if any fans of the show "Dallas" are coming down we can make sure you get to see it. You'll be disappointed, though -- the house is a lot smaller in person than it looks on TV. (Ask Six of Nine about camera angles.) But it lets you see what passes for "country living" in this big city of ours!

There are lots of things to see around the Dallas/Ft. Worth area, so if you're going to be staying a few days we'll see what fun we can plan! Last time a group of us went out to lunch at the West End and then went on to the Dallas Museum of Art, which is quite impressive. There's the Sixth Floor Museum which details the day John Kennedy was shot. There's the Dallas World Aquarium, which has a real rain forest built inside of it (it's privately owned and definitely worth seeing). There's Fair Park, which has its own aquarium and a wonderful science museum. There's Old City Park, which gives you a glimpse of Dallas in the REALLY old days. There's Farmer's Market, which is just plain fun to go through, and you can get some wonderful fresh fruit and veggies. I know where all the good outlet malls are, and if you want to go to Ft. Worth, you have to see The Stockyards. It looks like an Old West town, with plenty of shops and great restaurants. Reunion Tower in Dallas gives you a beautiful view of this very flat landscape of ours.

There is also an amusement park called Six Flags which will be open in May.

I thought there was always a 6 Flags in Dallas? I was at Six Flags over Texas back in 89.. We were staying in Dallas but I forget how long a drive we took to get there..
